The goal of these short articles is to address a certain everyday problem renters are faced with and to offer a simple solution (instead of listing several of them like we do in our regular articles).

Since certain issues can be resolved in more than one way we will try to present a solution that is the best and quickest in our opinion. The first problem we will try to solve in this new category is the one related to sending large e-mail offers with numerous attachments but without increasing the size of the e-mail.

Listings of offered accommodation are an integral part of everyday business for renters. Each guest is provided with as many as several modified offers before he or she accepts specific accommodation and the final offer (if they decide to accept at all).

The problem

After preparing a wonderful template and everything else that will allow you to create and modify offers as quickly as possible, all that is left to do is to send the prepared document to a guest.

If you are sending some price lists or brochures along with the offer, it is highly likely that the total size of all attachments will be quite significant. This can easily result in your e-mail being rejected by the guest’s mail server for several reasons and your effort and speed could be in vain.

The solution

Use the Dropbox Public folder for file sharing (more about Dropbox). All you have to do is drag a desired offer (or any other file) to the Public folder and with a right-click on the mouse access the Dropbox – Copy public link option. Then, place this link in an e-mail and send it to a guest instead of sending the document itself.

Since a link is basically a piece of text it hardly increases the e-mail’s size at all. By doing this you can be certain that your e-mail will not be refused due to excess size. This also saves space on the guests’ mail servers and it allows them to control their cellular data transfer if they receive the e-mail on their mobile device.

Besides from offers, this can also be used to insert bank account numbers, price lists and similar information into your predefined replies instead of manually including prepared documents when you are sending them which allows you to save time.
